Service Begins Before the First Guest Arrives
Event servers do more than carry plates. Within the confirmed staffing scope, they prepare service areas, support the caterer or host, care for guests, monitor food and beverage stations, clear throughout the event, and complete the agreed breakdown and cleanup. Responsibilities vary by service style, venue, kitchen, caterer, rentals, bar plan, and client needs, with the scope defined in advance so everyone knows where the team’s responsibility begins and ends.
Service Setup
Preparing buffet, beverage, cocktail, dining, or dessert areas; organizing service pieces; and helping the room become guest-ready within the confirmed scope.
Guest Arrival
Welcoming guests, passing beverages or hors d’oeuvres where planned, directing simple guest questions, and keeping entrances and gathering areas orderly.

Guest Count is Only the First Number
There is no one-size-fits-all server-to-guest ratio. Two events with 75 guests can require very different teams depending on the service style, venue, setup, and breakdown. That Special Event recommends staffing based on the complete service plan, so your quote reflects the actual work required, not a shortcut based on headcount alone.
More guests create more service, clearing, beverage, and dish volume, but guest count does not explain the operation by itself.

That Special Event regularly provides servers for events planned, catered, or hosted by other professionals. The service team works within the plan already established, coordinates with the caterer and venue, and follows the on-site chain of command. When a TSE captain is included, the captain briefs and directs the servers while coordinating with the host, planner, caterer, kitchen, bar, and rental team.
Caterers
Servers follow the caterer’s service procedures, food-handling direction, course timing, buffet plan, and kitchen chain of command.
Planners and Coordinators
Servers execute the hospitality portion of the broader timeline while the planner manages vendors, cues, and the full event plan.
Rental Teams and Venues
Staff work within venue rules and the agreed responsibility for china, glassware, furniture, linens, equipment, and end-of-night organization.
Hosts
For home and private events, the office defines what the servers will handle so the host is not giving a new set of instructions after service has already begun.
Uniforms and Presentation
Our standard uniform is all black: button-down shirt, slacks, shoes, tie, and black bistro apron. Special uniform requests can be discussed in advance to complement your event.
