Professional Event Staffing for Chicago and the North Shore

Servers, bartenders, captains, chefs, and support staff who arrive ready to work the event in front of them. For 25 years, That Special Event has helped hosts, caterers, planners, and venues run weddings, mitzvahs, corporate events, and private parties with calm, professional hospitality.

The Team Behind a Well-Run Event

Event staffing is about more than adding people to a room. The right team anticipates what needs attention, cares for guests without hovering, keeps service moving, and handles breakdown with the same discipline. The value isn’t the number of hands. It’s the amount of responsibility the host no longer has to carry.

Hire our staffing division for an event you’ve already planned, or combine staffing with our Event Planning team for one hospitality company from the first timeline through final cleanup.

Build the Right Team for the Perfect Event

Some events need one experienced server in a private home. Others need captains, bartenders, kitchen staff, and a full service team working from one timeline. We recommend the mix after reviewing the guest count, service style, venue, kitchen, bar, setup, and breakdown expectations.

Event Servers

Professional front-of-house support for setup, guest care, food and beverage service, table maintenance, clearing, and breakdown, shaped around the caterer’s or host’s service plan.

Best for: Private dinners, cocktail parties, weddings, mitzvahs, corporate receptions, buffets, plated meals, and home celebrations.

Event Bartenders

Experienced bartenders who set the bar, organize the client’s products, serve beer, wine, mixed drinks, or signature cocktails as scoped, maintain the station, and break it down clean.

Best for: Home parties, weddings, mitzvahs, corporate receptions, galas, and events with a dedicated guest bar.

Kitchen Staff

Chefs, cooks, prep personnel, and kitchen assistants who support on-site execution, plating, replenishment, organization, dish flow, and a clean kitchen hand-back according to the event’s culinary plan.

Best for: Catered events, private homes, venue kitchens, plated dinners, high-volume buffets, and events requiring dedicated back-of-house support.

Event Captains

The operational lead for the service team: briefing staff, assigning stations, running the service timeline, coordinating front and back of house, communicating with the client, and solving problems in real time.

Best for: Weddings, mitzvahs, galas, corporate events, multi-vendor events, and any service plan that needs one accountable on-site leader.

Support Staff

Behind-the-scenes personnel for setup, breakdown, equipment movement, dish and utility support, coat check where confirmed, and the physical work that keeps the event operation moving.

Best for: Tented events, private homes, large rental orders, venues without house labor, and events with substantial load-in, dish, or breakdown needs.

Kosher-Conscious

Hospitality staff trained to work respectfully within the kosher or kosher-style service plan established by the family, caterer, venue, or supervising authority. Kosher-conscious staffing does not replace kosher certification or religious supervision.

Best for: ar and bat mitzvahs, Jewish weddings, holiday dinners, baby namings, brises, and celebrations in kosher homes or venues.

From First Call to Final Hand-Back

  • Share the date, location, guest count, event type, service style, menu or caterer, bar plan, and what you expect the team to handle before, during, and after service.

  • We review the full operation, not just the guest count: venue layout, kitchen distance, service style, china or disposables, bar complexity, setup, breakdown, and whether the event needs an on-site captain.

  • Every event is priced individually. The quote reflects the recommended roles, staffing level, and coverage needed for the scope you described; no staffing price or universal ratio is assumed on this page.

  • Once the event is booked, the office finalizes the roles and event details so the assigned team has the information needed to arrive prepared.

  • Staff arrive in the professional all-black uniform. Where a captain or lead is included, that person briefs the team, assigns responsibilities, and keeps service moving against the event plan.

  • The team completes the agreed clearing, breakdown, leftover handling, dish or utility support, and space hand-back before leaving. The exact ending responsibilities are defined by the event scope.

Professionalism You Can See in the Room

Staff_12.jpg

Professionally Uniformed

The standard uniform is all black: button-down shirt, slacks, shoes, a company-supplied tie, and a black bistro apron. Special uniform requests may be discussed when the event aesthetic calls for something different.

Punctual
and prepared

Events run on fixed setup and service windows. The team is expected to arrive on time, ready for the briefing and the work assigned.

Guest-first
Hospitality

Professional service is warm, courteous, observant, and discreet. Guests should feel cared for without feeling watched.

Initiative without Overstepping

The strongest staff notice an empty ice bin, a buffet that needs attention, a table that should be cleared, or a guest who needs help, then act within the event plan and the captain’s direction.

Calm under
Pressure

Guest counts change, deliveries run late, weather moves, and rooms evolve. The service team adjusts without transferring the stress to the host or guests.

One Team from Setup through Breakdown

The work begins before guests arrive and continues after they leave. Setup, service, clearing, cleanup, and hand-back are treated as one connected operation, within the confirmed scope.

Kosher-conscious Trained

TSE staff complete dedicated kosher-conscious service training and work within the instructions established for each kosher or kosher-style event. This training does not replace kosher certification or religious supervision.

Captain-led when the Event requires it

For larger or more complex operations, an event captain can brief the team, run the timeline, coordinate service areas, and serve as the client’s on-site point of contact.

Clear Scope Before Anyone Walks Through the Door

  • There’s no one-size-fits-all staffing formula. TSE considers the event type, service style, venue, setup, breakdown, and level of leadership needed to build the right team for each event.

  • TSE regularly provides the hospitality team for events planned or catered by other professionals. Staff work from the established service plan, coordinate with the caterer and venue, and follow the on-site chain of command. When TSE is also planning the event, the planning and staffing teams operate from the same timeline and service expectations.

  • Be ready to share:

    • the date

    • address or venue

    • guest count

    • event schedule

    • service style

    • dish plan, menu or caterer

    • bar plan

    • available kitchen

    • rentals

    • setup and breakdown needs

    • any traditions or house rules the team must respect.

Photos or a walkthrough may be useful for private homes or unusually complex spaces.

  • Staffing does not automatically include food, alcohol, rentals, glassware, ice, bar tables, linens, kitchen equipment, or cleaning supplies. The exact responsibility for each item should be assigned before the event. The current website asks hosts to have gallon zip-top bags, heavy-duty garbage bags, paper towels, and dish linens available for staffing events.

  • The standard is the all-black TSE uniform. Special requests that match an event’s aesthetic can be discussed in advance, subject to feasibility and approval.

  • Arrival time is set by the scope of the event rather than published as a universal promise. Staff need enough time to receive the briefing, understand assignments, and complete the agreed setup before guest service begins.

  • Every staffing event is custom quoted. Operational policies must be stated in the proposal or agreement for that event rather than assumed from this page.

“Whether it was this past month, when a server helped us with everything from set-up to clean up of two different family parties, or three years ago, when we were still only doing outdoor parties due to Covid, or 14 years ago, when they helped us cope with serving 200 guests when the venue's refrigerators broke down, Jerry and his seasoned crew have always come through!”

Lori

“So happy to have Mauricio Galeano as our server for our grandson’s baby naming party. He was very pleasant, organized, and anticipated our needs, giving his ideas about setting up the buffet just before the party started, and in constant motion tidying up during the event, adding ice, or food as needed, packaging up leftovers for us to take home afterward. We anticipated 50 people, I think we had 70, and he was super.”

Susan

“I work in a high rise where recommendations are crucial. That Special Event has been my number 1 company to recommend to our many different corporate tenants for events. They are provide reliable staff such as Ana, who has been our favorite through many different companies who have used her for events. These are multimillion dollar companies who rely on great service staff who knows what they're doing.”
